Assistant Project Manager, Renovation Projects

Responsible for assisting the Project Manager with all Pre-construction planning and estimating requirements for future Renovation projects, tenant improvements, building repairs and large  scale maintenance projects. This position will prepare and review project scopes, analyze and review historic documents, building specifications, obtain quotes from suppliers, compile labor and material takeoffs to prepare budget estimates, and prepare initial project timelines and overview schedules.

Key Responsibilities:

  • Assist the Project Manager in assessing existing building conditions
  • Review archive property binders, drawings and relevant documents for closed jobs and create a new project specific relevant documents folder
  • Review the project plans and specifications and comment on the building design, scheduling, possible cost savings measures and potential construction problems
  • Prepare conceptual budgets based on minimal information
  • Assist PM in preparing accurate and dependable estimates as required (including calculations by hour, by unit or by element)
  • Examine and interpret RFPs, plans, specs and other documentation to provide labour, material and equipment take-offs and costing required for complete estimates
  • Consult with construction operations with regard to general conditions, construction methodology and schedules during the estimating process
  • Assist in monitoring construction and material cost trends affecting costs
  • Participate in the transfer of lessons learned meetings for all projects
  • Identify and note areas of concern and coordinate appropriate consultant reviews to identify any site-specific extraordinary issues and prepare a comprehensive condition assessment report and help in preparing a plan to deal with them
  • Review of city documents to coordinate with existing building conditions and coordination of any required consultants required
  • Maintain and develop excellent relationships with municipalities, clients, architect, consultants, subcontractors, and internal project team
  • Help prepare and obtain Building Permits by coordinating drawings and information required for the application and approval process and assist in obtaining all other municipal permits
  • Help prepare and issue project tender packages, including scopes of work customized for the specific project
  • Review quotations and provide bid analysis and recommendations for approval
  • Assist in awarding the subcontracts and supplier contracts and provide subcontracts and purchase orders for execution
  • Develop a schedule for project completion that effectively allocates the resources to the activities and provide updates to all stakeholders
  • Provide timely and effective project reporting including monthly project status reports, cost forecasting, cash flows, schedule updates, safety and quality updates and issues
  • Provide direction and support to project coordinators that includes mentoring, coaching, supervising and assessing performances
  • Coordination & interaction with the site operations to ensure the work is carried out as per the plans specifications and scopes of work
  • Initiate and control a request for information process for all project issues and inquiries.
  • Organize and oversee applicable meetings required for the projects including consultant, subtrade, client and internal meetings
  • Responsible to obtain project specific insurance and to confirm the required subcontractor insurance is in place and up to date
  • Expedite all shop drawings and approvals
  • Set up files to ensure that all project information is documented and secured
  • Handle all change orders including tracking, negotiating, processing and assessing cost and schedule impacts
  • Prepare/verify and monitor progress billings from subcontractors and suppliers including confirming final holdbacks
  • Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project
  • Review the quality of the work completed with the project team on a regular basis to ensure that the work meets the specifications
  • Monitor site safety and ensure that the requirements of the Occupational Health and Safety Act and the Beedie Health and Safety policies are enforced on site
  • Ensure that as-build drawings are prepared on an ongoing basis by all trades during the construction period and issue at project close
  • Ensure all required municipal inspections are performed and obtain the required occupancy permits for the project
  • Review and confirm work required is complete and recover all project Letter of Credits
  • Oversee project closeout and evaluate the outcomes of the project as established during the planning phase and provide a final report on the lessons learned

Desired Skills and Experience:

  • Post-secondary education in Construction Management or a related field of experience
  • A minimum of 5 years of relevant work experience in industrial or commercial restoration or renovation projects. Experience must include estimation responsibilities
  • Previous experience in developing detailed project plans using project management tools and methodologies
  • Strong planning and execution skills including Analytic problem solving
  • Demonstrate ability to effectively communicate ideas and actions to those at all levels of the organization
  • Experience with process redesign, process mapping and documentation
  • Current working knowledge of construction software such as Bluebeam, AutoCAD and OST required including project management tools including Microsoft office suite
