Project Coordinator, Tenant Improvement Projects

Responsible for assisting the Project Manager with all Pre-construction planning  requirements for future Tenant Improvement projects and building repair and upgrade projects such as office additions & renovations, roof replacements, structural upgrades, etc. This position will also, assist in preparing project scope reviews, analyzing and reviewing historic documents, understanding drawings and building specifications, obtain quotes from suppliers, compile labour and material takeoffs to prepare  budget estimates, prepare initial project timeline overview schedules.

Key Responsibilities:


  • Assist the Project Manager in assessing existing building conditions.
  • Review archive property binders, drawings and relevant documents for closed jobs and create a new project specific relevant documents folder.
  • Set up and maintain record files to ensure that all related historic property and project information is appropriately documented and secured so as to ensure the flow of project information is maintained and documented
  • Review city documents to ensure accuracy between permitted work and possible exceptions or changes to code requirements.
  • Assist in the development of the project schedule
  • Prepare bid analysis spreadsheets and recommendations for PM approval
  • Prepare the subcontracts and purchase orders for execution
  • Maintain accurate and up-to date logs for drawings, vendor/subcontractor lists, RFI'S, change orders and track responses and advise Project Management team on
  • Provide meeting minutes for applicable meetings as directed to attend
  • Review and assist in the preparation and issuance of the project tender packages, including scopes of work customized for the specific project
  • Coordinate & update site operations staff regarding site work being conducted


  • Coordination of the deficiency inspection process & correction of all identified deficiencies
  • Coordination with service & warranty department to address all warranty issues.
  • Coordination & interaction with the site operations to ensure the work is carried out as per the plans specifications and scopes of work.
  • Coordination that safety requirements are implemented by our subcontractors and suppliers.
  • Coordination of all required permits and inspections.
  • Occupancy inspection process to be organized and managed.
  • Assist in obtaining the required occupancy permits for the project
  • Assist in the recovery of all project Letter of Credits
  • Coordinate the project closeout meeting and provide a final report on the lessons learned
  • Archive project binders, drawings and relevant documents for closed jobs

Desired Skills and Experience:

  • A minimum of 2 years of relevant work experience in industrial or commercial restoration or renovation projects.
  • A technical Diploma or relevant University Degree.
  • Knowledge of Office suite of software required I.E. Word, Excel, Outlook, MS Project.
  • Working Knowledge of construction software such as Bluebeam, AutoCAD and OST required.Exceptional written and oral communication skills.
  • Passion for construction and project management.
  • Recognized analytical and research skills.
  • The ability to handle a heavy workload, multitask and prioritize.
  • A strong work ethic, attention to detail, and excellent organizational skills.
  • The ability to travel throughout the lower mainland with access to your own vehicle.
  • Strong problem-solving and critical thinking abilities
